The Administration Assistant Role
Land & Wave is looking for one Administration Assistant to join us in our busy office in Swanage, Dorset.
As Administration Assistant, you’ll be the first point of contact with our clients, so we need people who are warm, engaging and helpful by nature. You will be taking adventure bookings, upselling our experiences and helping our guests have a smooth booking experience.
Land & Wave is a busy outdoor adventure company, based on the South Coast in Dorset. We specialise in providing exciting outdoor adventure activities within incredible natural locations; sea kayaking in Swanage Bay, Paddle Boarding in Sandbanks Harbour, Climbing and Coasteering at Dancing Ledge and teaching bushcraft survival skills in stunning woodland near Corfe Castle.
Our Administration Assistants are outgoing and ready for action. We get very busy with calls and emails! You’ll need to be methodical and unflappable when the phones are ringing.
To be really good as a Land & Wave Administration Assistant, you need to thrive on being busy and have an excellent eye for detail. Accurate, well-written emails are a must, as well as a friendly telephone manner. We need someone who is adaptable and enjoys working effiiciently and systematically.
This is an office-based role, using a diary system called ‘Activity Cloud’. It’s easy once you get the hang of it. All bookings are taking through our website.
The Administration Assistants support the Schools Manager, Customer Service Manager and Finance Manager with all their administrative needs.
You’ll need to get to grips with our wide range of adventurous activities, so you can confidently talk to the customer about the adventure they’re booking and even upgrade their experience by upselling other products.
We deal with teachers, families, stag and hen groups and corporate groups. They are often booking on behalf of lots of people, so we want to make their booking experience as easy and enjoyable as possible.
The Job Lowdown
Here are some of the things you’ll be working on:
Taking bookings and payments
Providing clients with clear information about logistics
Updating availability on our diary system
Sending out reminder emails for balances and chasing balance payments
Encouraging clients to leave TripAdvisor / Google / Facebook reviews
Managing office supplies
Managing grocery orders for activities
Clearly communicating group information to instructors
Helping with the office management; recycling, ordering, keeping us organised
Prepping information folders for school teachers
Organising registers for Kids Clubs
Liaising with 3rd parties such as National Trust, Swanage Railway etc
Assisting Finance with reconciling / ordering
Flexibility in the role
This is an office-based role, 32 hours over 4 or 5 days.
We are open to a certain degree of flexibility in the hours you work if you need them to fit around childcare for example.
A 4-day or a 5-day week could be an option.
You could work more weekends and less days midweek if you wanted to.
If you work weekends, time is given back during the week.
Our Office is in Swanage, Dorset
Swanage is a beautiful seaside town, with incredible countryside on the doorstep.
Land & Wave employees have free access to paddle boards and other outdoor kit to enjoy the local area. There are always plenty of people around to enjoy adventures on your days off with.
Land & Wave employees usually choose to live in Swanage or nearby Poole.
